Admin guide

View Past Events

Easily review historical data, including all past events and associated attendance records. This allows admins to analyze participation trends and access reports anytime.


Accessing Past Events

  1. Open Admin Dashboard

    • Navigate to the Presence web app or Android app.
    • Use your registered admin credentials to log in.
  2. Navigate to Events Section

    • From the dashboard menu, select Past Events.
    • All previously held events will be listed in reverse chronological order.
  3. Event Details

    • Click any event to view its details:
      • Event name
      • Date and time
      • Total attendees
      • Attendance report summary

You can use the search bar to filter past events by event name or date.


Viewing Attendance

Each event includes a detailed list of attendees:

  • Attendee name
  • Email ID
  • Time of scan
  • Attendance status (e.g., Present, Late)

Export Options

  • Download the full report in Excel format.
  • Share report directly from the admin panel (if device supports sharing).

File Format

The Excel file contains separate columns for event metadata and attendee details. Works with Google Sheets, Excel, or any CSV-compatible tool.


Deleting Past Events

Admins cannot delete past events to ensure audit trail and historical data integrity. If you require event removal for compliance reasons, contact system support.


Best Practices

  • Regularly export reports for offline archival.
  • Use attendance trends to inform future event planning.
  • Check for no-shows or frequent late participants using historical data.

Troubleshooting

  • Missing events: Ensure correct date filters are applied.
  • Slow loading: Large datasets may take longer to load; check your internet connection.
  • Excel not downloading: Ensure download permissions are granted on your browser or device.

Presence stores all past event data securely using Firestore. Real-time updates ensure immediate availability post-event. Reports are generated dynamically from this data.
