Share Event
Admins can share attendance events using dynamically generated QR codes. These QR codes are event-specific and serve as the access point for users to scan and mark their attendance.
Accessing Share Options
After creating an instant or scheduled event:
- Navigate to the Dashboard.
- Locate the event under Upcoming or Ongoing Events.
- Tap Share icon/button on the respective event card.
This opens the QR code generation module.
QR Code Generation
Each event has a unique, auto-generated QR code:
- The QR code is directly tied to the event ID.
- It is compatible with any standard QR scanner, including the Presence app scanner.
Image Format
You can download the QR code as a PNG image. This allows distribution through various channels:
- Printed posters or notices
- WhatsApp or messaging groups
- Email attachments
- Embedded in event announcements
Sharing the QR Code
Once downloaded, the QR code can be distributed by:
- Uploading to any cloud storage (e.g., Google Drive)
- Forwarding through messaging apps
- Attaching in emails to the intended attendees
The system does not auto-distribute QR codes. Manual distribution is necessary.
Reminder
The QR code must be scanned using the Presence app by users who have valid accounts. Shared QR codes alone do not grant access without authentication.
Best Practices
- Always test the QR code with the Presence app before sharing widely.
- Distribute only to registered users with valid roles.
- Avoid sharing expired or past-event QR codes to prevent confusion.
- Regenerate the event if you notice incorrect QR behavior.
Troubleshooting
If the QR code fails to load or scan:
- Ensure the event still exists in your dashboard.
- Verify internet connectivity.
- Make sure the Presence app is updated.
- Confirm the shared image is not cropped or distorted.
If issues persist, contact Presence support.
